Booking a Trip

When you book any adventure with Real Adventure Nepal Pvt. ltd, whether it's trekking in the Himalayas, sightseeing in ancient cities, peak climbing, or enjoying luxury hotels in Nepal, Bhutan and Tibet, your journey officially begins once your booking is confirmed via email.

Contract Formation

A contract is formed between you and Real Adventure Nepal Pvt. ltd when you make a reservation. This contract outlines our mutual understanding and agreement, including all relevant terms and conditions. While our brochures provide basic information, the actual cost may be revised before final confirmation. The agreement takes precedence over any previous discussions.

Deposit Requirement

To confirm your booking, we require a deposit of 20-30% of the total trip cost. This deposit should be made within two weeks of your initial inquiry. Your payment options include direct bank transfer or online payment via WeTravel. Please note that card payments incur an additional 3% surcharge. For Helicopter Tours, Bhutan Tours and Tibet Tours, we request full payment upfront.

Payment Methods

Once your trip is confirmed, you can choose to pay via bank transfer or online credit card payment.

  • Online Payment by Card: We use WeTravel Smart payments, a secure international payment gateway, to protect your personal and transaction details.
  • Bank Transfer: Contact us for bank details. After making the transfer, email us the reference or slip.
  • Other Methods: Depending on company policies, options like e-wallet payments, direct cash payments in Nepal, or other methods may be available. Please inquire about all payment options.

Last-minute Booking

For those who decide to travel spontaneously, we offer last-minute bookings for Nepal trips. Full trip payments must be made within 24 hours. This option is not available for Tibet and Bhutan trips due to their logistical complexities. All last-minute bookings depend on availability.

Cancellation Policy

Cancellation by Clients

  • More than 30 days before the trip: Clients receive a refund, excluding the booking deposit.
  • 15-30 days before the trip: 50% of the total trip cost is retained.
  • Less than 15 days before the trip or during the trip: No refunds will be granted. If you opt out after the trip has begun, the full cost applies. Non-utilization of services does not warrant any refunds.

Cancellation by the Company

If we cancel the trip, except for force majeure events, we will refund your payments in full. For force majeure events, we will suggest alternative dates or activities. If these are unsuitable, all payments except the booking deposit will be refunded.

Trip Amendment

  • Nature is unpredictable. If unforeseen circumstances require an itinerary change, we will communicate adjustments promptly. Should you wish to modify the trip for personal reasons:
  • 30 days or more before departure: A fee of USD 100 or more per person applies.
  • Less than 30 days before departure: Cancellation fees apply.
  • Within 10 days before departure: Costs might increase due to agreements with third-party service providers.

Medical Conditions & Special Requirements

All travelers must disclose any physical or mental health conditions that might impact their journey. Non-disclosure can lead to travel denial and 100% cancellation fees. We strive to accommodate special requests, but these are not contractual promises. Healthcare standards may vary across countries.

Travel Insurance

Comprehensive travel insurance is mandatory. It should cover accidents, medical costs, repatriation, personal liability, trip cancellations, and lost belongings. Proof of insurance may be requested, and failure to produce it can result in trip cancellation without refund rights.

Flight Delays & Itinerary Changes

Mountainous regions can cause flight delays. For delayed domestic flights, we will cover pre-trip accommodation and food expenses in the departure city. For delayed return flights, extra expenses fall on you. Alternative arrangements, like helicopter flights, will also be your responsibility. Itineraries may change due to unforeseen events.

Injuries & Evacuation

Real Adventure Nepal is not accountable for any physical or emotional health conditions clients might encounter during the trip. Our package costs exclude personal insurance. We strongly advise securing comprehensive travel insurance that covers medical emergencies and helicopter evacuations. In an emergency, the client is responsible for all associated costs.

Missed or Unused Services

No refunds or discounts will be provided for any missed or unused services, whether due to voluntary or involuntary reasons.

Health & Fitness

Trekking in the remote Himalayan areas requires good physical fitness. We recommend consulting a doctor before planning a trip to Nepal. Any pre-existing medical conditions that may require medical attention or impact travel ability must be reported to the company.

Minor Travelers

Travelers under 16 years of age must be accompanied by a legal guardian. Age restrictions and trip suitability details will be communicated via email. Guardians should assess the trip's suitability for the young traveler before booking.

International Group Leader

An international group leader bringing a group of 8 or more to Nepal is eligible for a 10% discount per person on the listed brochure price. This offer does not extend to groups with fewer than six members. Special rates are also available for international agencies wishing to collaborate on Nepal trips.

Supplemental Charges

Our packages are based on twin-sharing accommodations. Clients preferring single accommodations will incur a supplemental fee, referred to as a single-room supplement. Indicate your preference early for smooth planning.

Risk & Liabilities

While your enjoyment and safety are paramount, factors outside of our control may necessitate itinerary alterations. We will not be liable for changes due to unforeseen events like natural disasters, political unrest, flight changes, or personal emergencies. Unexpected costs arising during the trip due to such events will be the client's responsibility.

Journey Expectations

We strive to provide a comfortable and thrilling trip. However, the comforts you might expect in Western nations might not always align with what's available in Himalayan regions. The weather can also be unpredictable. Journeying with an open mind, patience, and prior preparation will enhance your experience. We are committed to assisting you every step of the way.

Personal Belongings

While our team works hard to safeguard your belongings, we cannot be held responsible for any damage or loss during transportation by porters, animals, or vehicles. It's essential to get comprehensive insurance that covers such eventualities.

Privacy Assurance

Any personal data shared with us, primarily for trip arrangements, remains strictly confidential. We hold your privacy in high regard and will not use or disclose this data except as necessary for trip facilitation or if mandated by law.

Pledge to Social Upliftment

Real Adventure Nepal believes in giving back to the community. We allocate 8% of our proceeds from every trip to support education for underserved children in Nepal's remote areas. By choosing us, you are making a tangible difference in the lives of many.

Behavior and Conduct

Clients are expected to respect the laws and customs of Nepal. Any misconduct that causes discomfort to others or disturbs the trip can lead to the client's removal from the tour without any refund.

Complaints

Any complaints regarding the trip should be communicated to the tour leader or company representative as soon as possible, allowing the company an opportunity to address the issue promptly.

Applicable Law

The contract between the client and Real Adventure Nepal is governed by the laws of Nepal. Any disputes will be settled in Kathmandu under the Nepalese legal system.
